n8n & AI automation for agencies

The automation back office for your agency.

For marketing, creative and digital agencies of 10–100 people. Projects that set themselves up, numbers leadership can trust, and agents that do the checking, all inside the tools your team already uses.

Where agency hours go

More clients shouldn’t mean more coordinators.

The work between “sold” and “started” grows faster than headcount. These are the four leaks agency founders and ops leads feel most. Hover or tap a card to see what changes.

The problem

Clients wait while you set up.

Every new project starts with an hour of copying briefs, building tasks and chasing owners before any billable work begins.

The transformation

Projects ready the moment they’re sold.

One form now creates the workspace, tasks, owners and team handoff automatically.

~1 hrsaved on every new project
The problem

Nobody trusts the utilisation numbers.

Capacity sits in one tool, hours in another and margin in finance’s spreadsheet, so the weekly review starts with an argument.

See the fix
The transformation

One set of numbers to run the week on.

Capacity, delivery, churn and margin reconciled into one live leadership view.

6 → 1source systems combined into one view
The problem

Client requests slip through Slack.

Handoffs depend on someone remembering every step, so threads go unanswered and account managers chase instead of manage.

See the fix
The transformation

Every request routed, every time.

Triggers assign owners, send reminders and flag anything that gets stuck.

48live workflows running on their own
The problem

Designers keep rebuilding past work.

Winning creative is buried across client folders and file names, so the team starts from a blank canvas instead of what already worked.

The transformation

Years of creative, one search away.

AI tagging makes every past asset searchable by idea, angle or format.

What we build for agencies

Five fixes, each one
already proven in an agency.

Every offer is built from a system that ran inside a working agency, so the proof matches the promise.

Sold-to-Started

A closed deal becomes a ready workspace, tasks, owners, brief and team handoff in minutes, not an afternoon.

Case studies are selected work from Yash’s career before First Principles, much of it inside a digital agency. Client names are confidential; screenshots use illustrative data where noted.

Why First Principles

I’ve run automation inside an agency, not just for one.
I know where the hours go between sold and started.

Your tools, not a new platform

We build on the project, CRM and ad tools your team already lives in. Already on Zapier or Make? We extend what works and move to n8n only where it pays off.

A baseline before the build

We agree a baseline such as setup time per project, hours chasing updates or reporting effort, then compare it after launch. Running costs are part of the assessment.

Client data stays in your accounts

You own the code, workflows and documentation. We request only the access needed and can work under your NDA and your clients’ security requirements.

FAQ

Questions agencies ask first.

Something else on your mind? Send Yash a note.

What size of agency do you work with?

Mostly marketing, creative, performance, web and design agencies of 10 to 100 people: big enough that coordination eats real hours, small enough that one well-built system changes the week.

We already use Zapier or Make. Do we have to switch to n8n?

No. We extend what already works. n8n earns its place for complex, high-volume or AI-heavy workflows where it is cheaper and easier to maintain, and we will say so with the running costs side by side.

Which project management and agency tools do you work with?

ClickUp, Asana, Monday, HubSpot, Harvest, Float, Slack, Google Workspace, Figma and the major ad platforms, plus anything with an API. We start with the tools your team already lives in.

How is our clients’ data handled?

Everything runs in your accounts, under your access controls. We request only the access needed, you own the code, workflows and documentation, and we can work under your NDA and your clients’ security requirements.

How do we get started?

Book a discovery call. We find the bottleneck worth fixing first and agree a useful first step. If it is worth building, the next step is a fixed-scope sprint quoted up front.

Where does your agency
lose the most hours?

Bring the bottleneck. We’ll map a useful first step together.
